Who we are

Toolbelt Accountants Ltd is the data controller for the personal information described in this notice. We are registered in England and Wales, company number 17284853, and our registered office is 44 Coleford Bridge Road, Mytchett, Camberley, GU16 6DZ. We are registered with the Information Commissioner's Office, registration number ZC271569.

What we collect

• When you visit this website: anonymous visitor statistics, which use no cookies. If you click Accept on our cookie banner, the Meta Pixel also records which adverts brought you here and whether you started a booking or a WhatsApp chat.
• When you book a call or message us: your name, email address, phone number and anything you tell us about your business.
• When you become a client: identity documents and checks required by anti-money laundering law, your contact details, your business and personal financial records, tax references, payroll information and bank details for your Direct Debit.

Why we use it, and our legal basis

• Advertising cookies: only with your consent, which you can withdraw at any time using Cookie settings at the bottom of any page.
• Replying to enquiries and running your discovery call: our legitimate interest in responding to people who contact us.
• Providing our accountancy services: to perform our contract with you.
• Identity checks, record keeping and reporting: to meet our legal obligations, including anti-money laundering and tax law.

Who we share it with

We only share what is needed, with organisations that help us provide the service. These include our booking, messaging, email, practice management, accounting software, identity check and payment providers, and the service provider that helps us deliver the accountancy work. We also share information with HMRC and Companies House when we file on your behalf. We never sell your information.

Transfers outside the UK

Some of our providers store or access information outside the UK, including in the United States and India. Where this happens, we use the safeguards UK law requires, such as the UK International Data Transfer Agreement or the UK-US data bridge.

How long we keep it

• Enquiries that don't lead to you becoming a client: up to 12 months.
• Client records: 6 years after our work ends, to meet tax law.
• Anti-money laundering records: 5 years after our relationship ends, as the law requires.

Your rights

You have the right to access your information, correct it, ask us to delete it, restrict or object to how we use it, receive it in a portable format, and withdraw consent at any time. To use any of these rights, email us at the address above. We will reply within one month.

Complaints

If you are unhappy with how we handle your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
